Item templates

What are item templates?

Item templates are pre-filled item forms that save you time when you frequently create similar items. Instead of entering the same category, fields, and attributes each time, create a template once and reuse it whenever you add a new item. (Pro+)


Creating a template

Go to Settings → Item Templates and click + Add Template. This opens a full template editor with the same fields available on an item detail page:

  • Template name (required) — a label for the template (e.g., "19th Century Oil Painting" or "US Silver Dollar").
  • Template description — an optional note about when to use this template.
  • Category (required) — determines which category-specific fields are available.
  • All standard item fields — classification, condition, description, notes, location, pricing, dimensions, weight, and more.
  • Category-specific attributes — the same structured fields that appear on items in the selected category.

Any field you fill in on the template will be pre-populated when you create an item from it. Leave fields blank to fill them in per-item.


Using a template

When adding a new item via the Add Item dialog:

  1. Select a Category on the Details step.
  2. If templates exist for that category, a Template dropdown appears.
  3. Select a template — its saved values pre-fill the new item's fields.
  4. Create the item and adjust any values as needed.

Managing templates

On the Item Templates page you can:

  • Search templates by name or description.
  • Edit a template to update its pre-filled values.
  • Duplicate a template to create a variation.
  • Reorder templates by dragging and dropping.
  • Delete templates you no longer need.

Tier access

Item templates are available on Pro and Premium tiers. Free tier users do not have access to this feature.
