Document templates (PDF)

What are document templates?

Document templates let you design custom PDF layouts for your items. Use them to create professional item sheets, sell sheets, certificates, or any formatted document featuring your item's data, photos, and business branding.


The template editor

The visual editor is a page-layout tool with three panels (desktop only — mobile shows a read-only list of your templates):

  • Field Palette (left) — lists all available fields and shapes you can add to the canvas.
  • Canvas (center) — the document page where you place and arrange elements.
  • Property Panel (right) — edit the selected element's properties (font, size, position, color, field binding).

The editor includes:

  • Undo/Redo — up to 50 steps of history (Ctrl+Z / Ctrl+Shift+Z).
  • Grid and snap — toggle a visual grid; elements snap to it while dragging.
  • Preview mode — switch between edit and preview to see how the document looks with sample data.

Description


Text A dynamic field (title, price, description, etc.) that pulls data from the item when generating.
Static Text Fixed text that stays the same on every document (e.g., headings, disclaimers).
Image An item photo or your company logo. Map to the primary image or logo field.
Image Grid A configurable grid of item photos (set rows, columns, and spacing).
Detail List A structured list of labeled fields (e.g., "Artist: {value}", "Medium: {value}"). Supports custom fonts, colors, and label positioning per field.
Rectangle A shape element for backgrounds, borders, or visual grouping.
Line A horizontal or vertical divider.

Field mapping

Each text, detail list, or image element can be bound to an item field. When you generate a PDF, bound fields are replaced with the actual item's data. Available fields include item details, pricing, dimensions, dates, sale information, location, and business profile fields (company name, logo, address, phone, website).


Page settings

Configure the document's:

  • Page size — Letter, A4, Legal, or Custom (specify width and height in points).
  • Orientation — Portrait or Landscape.
  • Default font — choose from 20+ font families. Use "Apply font to all" to update every text element at once.
  • Description — an optional note about the template's purpose.

Getting started

New users receive a default template automatically when first visiting the Document Templates page. You can edit it or create new templates from scratch.


Generating PDFs


Single item

From an item's detail page, click the PDF button. If you have more than one template, a selection dialog appears — choose a template and confirm. The PDF is generated and a dialog offers View (opens in a new tab) and Download options.

If you have only one template, it's selected automatically.


Bulk generation

Select multiple items on the Catalog page, then choose Create PDF from the bulk actions menu. Select a template and generate documents for all selected items in a single multi-page PDF. A progress indicator tracks generation (e.g., "3 / 12").
